The Role

We are recruiting for the position of Donor Coordinator for a fixed term of 6 months. Donor Coordinators are responsible for supporting the Donor Admin and Clinical departments with requests for clinical information and follow up actions for Pet Blood Bank donors. The role combines administrational and customer service duties to help confirm the eligibility of all candidates for donation, ensure blood stocks are maintained, and provide all donors and their owners with an excellent experience and exceptional level of care.

Launched in 2007, Pet Blood Bank UK is the only charity that provides a blood bank service for all vets across the UK. As part of our charitable remit, our aim is to advance animal health and welfare and to relieve suffering by providing quick and convenient access to blood. What you’ll do
  • Monitor the department email inbox and ensure timely responses to owners, internal teams, and veterinary practices.
  • Request clinical histories from veterinary practices, ensuring received documents are reviewed in a timely manner by a PBB vet and outcomes are communicated with owners efficiently.
  • Escalate donor health updates to the clinical team.
  • Follow up requests and provide administrative support to the clinical team to ensure blood units are released from quarantine promptly.
  • Assist with sending of blood results.
  • Make customer service check in calls to new and repeat donors.
  • Record and where appropriate escalate feedback from owners.
  • Use Pet Blood Bank computer systems to maintain donor records.
  • Play an active role in the Donor Admin Department and office by answering telephone and email enquiries and undertaking general admin tasks.
What we need

This role is an interesting blend of customer support and general administration office duties. You’ll be a meticulously organised, confident, and empathic communicator with a professional and friendly telephone manner, used to dealing with different people…from vet surgeons to pet owners!

We’re looking for someone who has:

  • The ability to deliver high-quality customer service to ensure a professional and positive donor experience.
  • Experience of handling diverse office and administrative responsibilities with precision.
  • A proactive and enthusiastic outlook, with the resilience to problem solve and make decisions.
  • Empathy with the pet-owning public and respect for donor welfare.

This role is on a fixed term contract for 6 months, working 20 hours per week, Monday 9am-5pm, Tuesday 5 hours (pattern flexible) and Friday 9am-5pm.
